Office Manager
Job Description:
Based in New York, the Office Manager will manage the administrative personnel and administrative functions for the US based offices of the firm. The Office Manager is responsible for all performance management processes, adequate training and back up of all administrative staff, and for ensuring that all functional areas within the company have adequate administrative assistance. Office Manager will also be responsible for facilities management. Office Manager will be primarily responsible for facilitating office moves, including moving of phones/systems/furniture. Includes assuring firm-wide records are maintained according to the established internal timetables. Responsible for assuring that data is moved to offsite storage when possible. Assure catalog of offsite records is adequate to assure timely recall of records. Maintains database of firm-wide credit cards, telephones, cell phones, and Blackberries. Provides assistance in the business recovery planning and execution. Other special projects as required.
Qualifications:
5-10 years office administration experience, including a minimum of 4 years in a supervisory capacity. Investment industry or professional firm experience preferable. Undergraduate degree preferred, however an Associate's degree with progress towards completion of an undergraduate degree will also be considered. Strong working knowledge of MS Office, and standard business applications required. Prior exposure to records management practices desirable. Excellent organizational skills and the ability to effectively manage and motivate team members. Strong project management skills.
